Board of  Directors Meeting
January 19th, 2007

Meeting called to order at 12:00 noon.

 

Motion to adopt the agenda.  Glen Ching, Peter Kondratowicz.  Carried.

 

Kerrie Sparrow read the minutes from the last meeting held in October 2006.  There were no errors or omissions.  Motion to adopt the minutes.  Peter Kondratowicz/Trevor Stewart.  Carried.

 

Business arising from the minutes.  None.

 

Financial Report was presented by Kerrie Sparrow.  Reviewed the 2006 year and noted outstanding receivables and expenses.  The 2007 budget was presented to the board and discussion followed.  Motion to adopt the financial report as read.  Donna Ross/Dennis Metz.  Carried.  The 2007 budget was tabled until further review during New Business.

 

Correspondence:

-         FAC’s – re:  sponsorship for their upcoming conference (declined)

-         CWA – Invoice for the display space .  We will ask the CWA reps. when they stop by later on about this invoice as it thought that our rent would be waived for this year. (Note:  Kerrie was notified at a later date that the invoice was cancelled)

-         CWA – Notification for Corporate Membership for 2007 year – Motion by Kerrie/Donna to decline purchasing a CWA Corporate Membership.  Kerrie Sparrow/Donna Ross.  Carried.

-         SLA Convention – 2007 Agenda and nominations form for the 2008 Year.  Motion that the SCA nominate Shirley Rosso to receive a 2008 SLA Honour Scroll for her work with the breed in particular its’ youth.  Carried.

-         Redvers Ag-Ex – advertising their annual Bull Congress

-         Sask. Beef Symposium

-         Cattlefeeder’s Annual Meeting – the SCA is entitled to a complimentary registration (with the membership) to the Annual Convention.  Kerrie may possibly attend on behalf of the SCA if it is possible.

 

 Agribition – Wade Beck

 

Donna Ross was concerned about the SCA specifically bringing in clothing for Agribition when the CCA brought in their own into the store to also sell.  Had we known there was going to be clothing available, we would not have brought any in (and therefore carrying inventory after).    There was discussion about the store location and that the store is not out in the open and clearly visible from the main aisle.

 

Scanning bulls cost $450 – there was discussion as to the value of this information and whether or not to continue the practice.  Motion by Glenn Ching/Dennis Metz to discontinue scanning the backfat of the bulls at Agribition.  Carried,.

 

Discussion regarding the position of the barn boss in particular the honorarium paid, costs, stabling, etc.  Due to budget restrictions, this honorarium will likely be scaled back.

 

We will host a sale for 2007.  Tenders will need to out for the sale and brought to the April meeting.

  

The commercial show had an excellent Charolais representation but the sale was rather soft.  There was discussion regarding conflicting sale dates at the time with other big sales at auction barns around the province.

 

Weighing the females on our own time worked well and we will continue this practice if possible.

 

CCA Report – none

 

The National AGM will be held July 12 – 14th in Quebec City.  

 

The CWA reps. Stopped by to recap the past years’ show.  Representing CWA were:  Leon Brin, Marilyn Charlton & Shawn Fuchs.  The numbers were down slightly from other years but the overall feel was good with lots of business being done.  They informed us that one of the changes for 2007 will be that no straw will be allowed in the barn.  They asked for any concerns or changes that we’d like, no other than keeping us in either the same barn or back to the old one and to keep our show on the Friday.  Concern was expressed to the CWA reps about the media regarding the Wat-Cha incident.

 

Committee Reports

 

Ad & Promo – Donna Ross/Glenn Ching

A recap of the years’ promotions and where their budget was spent.  There was discussion regarding ways to promote to bull buyers to bull registered bulls.  No more clothing will be bought and the existing stock needs to be sold off.  The Silver Sale, held on CWA week, was held at Assiniboia.  Silver calves were mixed in with buckskins and sold very well.  Not huge numbers but a decent turnout.

 

 

Fall Fair – Peter Kondratowicz

44 head showed and the commercial traffic was as good ever.  2007 will see Fall Fair host the National Angus Show and they are expecting to have 500-600 head.

 

2007 SCA Annual General Meeting – Wade Beck

The AGM is scheduled to be held June 16th at Bar EW Charolais at Macrorie.  Friday evening will be BBQ burgers (an informal evening for those wishing to come early and camp).  The meeting will be held on Saturday at the Little Brick Schoolhouse in Macrorie.  Director’s meeting will be held in the morning and the AGM to follow in the afternoon.  Supper will conclude that evening at Ed’s.  Possibly look into a tour on the Friday.

Send all information to Donna Ross as soon as possible.

 

Regina Bull Sale – Helge By

There are 31 Charolais Bulls entered and 200 head over all breeds.

 

Youth – Crystal Raymond

The CCYA will need a sponsorship of $2000 to help host the 2007 CCYA Conference in Weyburn.  Motion to sponsor the SCYA $2000 to help host the National CCYA Convention in 2007.  Crystal Raymond/Peter Kondratowicz.  Carried.  The youth made $3800 on the heifer donated by Wendall Weston.  Tim Bullick won the heifer.

 

4-H – Peter Kondratowicz

Last year there was only one overall Champion 4-H steer.  Peter will be ordering new prizes for handouts (unsure at this time what it will be).

 

Honour Scroll/Booster – Kerrie Sparrow

Other names to be brought forward at the April meeting.

 

Nominations – Kerrie Sparrow

Terms that are up:  Glenn Ching, Crystal Raymond and Trevor Stewart

We need to know everyone’s intentions at the April meeting.

 

Scholarships – Donna Ross

Discussion about the future of the scholarship program.  Right now, budget dictates that perhaps we need to suspend the program until things start to flourish in the association coffers.  There is a bit of concern about the quality of the applications and new guidelines need to be established with some mandatory requirements if/when the scholarship program is reinstated.   Motion to suspend the SCA Scholarship program for 2007.  Peter Kondratowicz/Dennis Metz.  Carried.  This will need to be reviewed annually.

 

  

New Business
 

-  The issue of an SCA fundraiser still needs to be addressed.  We are currently budgeting a loss unless we can find an idea to replace the Divas program.  Discussion about several ideas:  Possibly re-instating the Divas program with some revisions, silent auctions at the AGM and CWA.  We will address this further at the April meeting.  Be prepared with some ideas.

 

There was further discussion about the proposed 2007 budget.  We reviewed each category and went through details to see what could be cut and where income could be made.  See the attached for the 2007 budget.  Motion by Peter Kondratowicz/Kerrie Sparrow to pass the presented 2007 Annual budget.  Carried.

 

Cattlefeeders Convention is next weekend – Garner will be there.

 

Meeting adjourned.

 

Next meeting will be held in early April in Davidson.
